Using Fuel Management for optimal fuel efficiency [Part 1]

Many companies and fleets are suffering from the negative effects of fuel fraud, theft and abuse. And with the cost of fuel constantly on the rise, reducing costs and increasing profits has never been more of a concern. The biggest advantage of using a fleet management company to implement an intelligent fuel management solution is that it can identify potential fraud, theft, or abuse. The system can then quantify potential losses in terms of litres of fuel or rand value.

Fuel data is sent to Avis Fleet; we analyse this information and consolidate it into one report. Fraudulent activity is detected in close to real time and fleets are able to investigate within three days of suspicious activity taking place. With our intelligent fuel management, alerts are sent daily via e-mail, detailing any discrepancies. Information pertaining to the discrepancy is sent to the nominated point person on our customer’s staff. Alerts are also sent to the fuel station where the suspicious activity took place, oil companies, banks and third party representatives. All invested parties are kept up to date so that they can take proactive action as quickly as possible.

You are probably wondering exactly how Intelligent Fuel Management works, so here’s a breakdown on each of our alerts.

Low Fuel Consumption

This indicates that a vehicle between refuels, achieved a consumption lower than 70 percent of the norm set, resulting is a low fuel consumption. This could be caused by incorrect odometer readings or missing transactions. So, for example, a vehicle might have 10 fills for the month with the vehicle running at a consumption of 50 litres for 100km. Our data will show if there is a vehicle that comes through for only 9 fills and our system tells us there is a fill missing. This can indicate that the driver didn’t hand in a cash slip or the information wasn’t captured correctly before being sent to us; or it might also be possible that the bank processed the transaction late. This situation is rectified when the missing data is sent to us or the odometer readings are corrected.

Suspect odometer reading

Suspect odometer readings can show that the odometer reading has been captured incorrectly which would require the correct odometer reading to be sent to Avis Fleet. Suspect odometer readings can also indicate that another vehicle utilised the fuel card.  With the suspect odometer reading alert we will also send a fuel station query to the fuel station where the vehicle filled up and they will respond with the merchant voucher and pump log. We can then identify if the correct vehicle utilised the card and if the correct litres was dispensed into the vehicle. It is also possible that there was a human error, for example if the petrol attendant wrote down the wrong odometer reading, and our customers will be able to check this. 

Static odometer reading

These alerts show when an odometer is stuck on one value. Sometimes a vehicle’s odometer remains stuck on a number and the vehicle still continues to travel. A static odometer will result in fleet managers not being able to calculate fuel consumption accurately, vehicle data will only show how many litres of fuel have been consumed. It will also not give a reading on how far the vehicle has travelled. With a static odometer reading alert we will be able to advise our customers to repair this fault as soon as possible.
